A trial is the lowest-risk way to choose a coffee-machine supplier, but only if you know what you are testing. A machine that sits in the corner for two weeks and leaves "a general impression" tells you very little. A trial with a written baseline and a short scorecard tells you almost everything.
In short:
- Record how your current setup performs before the trial starts.
- Test at your busiest hour, with the people who complain most, and test the service as hard as the coffee.
- Score five criteria from 1 to 5 and only then ask for the quote.
Below is the routine we suggest for any supplier, including Anima Volitiva, where the trial is free for 14 days and needs no prepayment.
1. Write down your baseline before day one
Note how your current setup performs: roughly how many drinks go out on a normal day, when the queue is longest, how many complaints you hear in a week, and how long you waited the last time something broke. Rough numbers from your own team are enough.
Without a baseline you will end up comparing a feeling with a feeling. With one, every later step has something to be measured against.
2. Test in real conditions, not in the showroom
Put the machine where it will actually live and run it through your busiest hour. Delivery and installation with us take place within 24 hours, so you can plan the start for a Monday morning rather than a quiet afternoon.
Involve the people who complain most about coffee today: they are your best testers. If you run a kitchen or a bar, also test at the moment of peak orders. For a floor of an office, test at the morning rush.
3. Check whether your team can run it without help
Staff training is part of our onboarding, which has five stages: planning, setup, training, a first-week quality check and a review after the first month. See what staff training covers.
During the trial, see whether your own people can handle the daily routine (filling, cleaning, simple errors) without calling anyone. If they cannot after training, the machine or the training is the problem, not the staff.
4. Test the service, not only the coffee
Coffee quality is only half of the decision. Call the support line at an awkward hour and ask what happens if the machine stops. Our commitment is a 24/7 support line and a technician on site or a replacement machine within 24 hours; the details are on the emergency support page.
Whatever supplier you test, get the breakdown promise in writing and ask who exactly turns up and when.
5. Look at data, not only at impressions
Ask the supplier what you will be able to see. Our service includes an online analytics dashboard with cups sold, revenue, stock and errors. Compare it with your baseline from step 1: did the queue shorten, did complaints drop, did anyone run out of something at the wrong moment.
If a supplier cannot show you any data about your own machine, you will be guessing again after the trial.
6. Decide with a scorecard, then ask for the quote
Score each criterion from 1 to 5 at the end of the trial. The right column shows what we commit to, so you can hold any supplier to the same standard.
| Criterion | What to look at | What Anima Volitiva commits to |
|---|---|---|
| Coffee quality | Taste at the busiest hour compared with your current coffee | Premium roasted coffee with weekly resupply |
| Ease of use | Can your staff run the machine without calling anyone | Staff training included in onboarding |
| Speed | Queue length at the busiest hour | Equipment matched to the venue format |
| Service | What happens when you call at an awkward hour | 24/7 support line; technician or replacement machine within 24 hours |
| Clarity of the offer | Do you know exactly what the quote includes | Individual quote per venue, one of three packages (Start, Pro, Max) |
Only after the scorecard, talk about money. We quote individually for your venue and volume, so the quote should be the last step, not the first. How pricing works.
